Privacy Policy
How we collect, use and protect information shared with Regalis Workspace.
Introduction
This Privacy Policy explains how Regalis Workspace collects, uses and protects information about the people who visit our website, submit an enquiry, tour our facility, or use our coworking, managed office and GCC infrastructure services.
It covers our website and any enquiry, booking or tour request made through it, along with the records we keep about members and prospective clients. It does not cover the internal systems of separate companies that operate inside our buildings.
This policy was last updated in August 2026 and applies from that date.
Information We Collect
Information you give us through forms
Our enquiry and contact forms ask for your name, email address, phone number and company name, plus any message or requirement details you choose to add, such as team size, preferred move-in date or the type of workspace you are considering.
Information collected during a tour or booking
If you visit for a tour or book a workspace, we may record the date and time of your visit, the people attending on behalf of your organisation, the spaces or services discussed, and the commercial details needed to prepare a proposal or agreement. Building access and visitor sign-in records may also be kept for safety and security purposes.
Information collected automatically
When you browse the site, limited technical information may be collected, such as pages viewed, approximate location, device and browser type, and referring links. This is collected through cookies and analytics only where you have allowed the analytics category in your cookie preferences.
How We Use Your Information
We use the information we hold for a small number of clearly defined purposes:
- Responding to your enquiry, arranging a tour, and preparing quotes or proposals.
- Managing memberships, bookings, invoicing and day-to-day service delivery.
- Communicating operational updates about your workspace, facilities or booking.
- Understanding how the website is used so we can improve its content, structure and performance.
- Internal record-keeping, accounting and compliance with applicable Indian law.
How We Share Information
We do not sell, rent or trade your personal information to anyone.
We share information only with service providers who help us operate the business, and only to the extent they need it. This can include website analytics tools, email and communication providers, customer relationship or enquiry-management software, payment and accounting providers, and building operations or security partners.
We may also disclose information where we are legally required to do so, for example in response to a lawful request from a government authority, or where it is necessary to protect the safety of people in our facilities.
Data Storage & Security
Information is stored on systems operated by us or by our service providers, with access restricted to team members who need it for their role. We use reasonable technical and organisational safeguards, including access controls, encrypted connections for data submitted through the website, and internal handling practices for commercially sensitive client information.
No system can be guaranteed to be completely secure. If we become aware of a security incident that materially affects your information, we will act promptly to contain it and inform affected parties where appropriate.
Cookies
We keep cookies deliberately simple. Necessary cookies are always active because the site cannot function correctly without them. Analytics cookies are optional and help us understand how visitors move through the site.
We do not run advertising or marketing tracking on this site. You can review or change your choice at any time using the Cookie Preferences link in the footer.
Data Retention
Enquiry and tour records are kept for as long as we may reasonably need them to follow up on your requirement, and are then reviewed and removed if no engagement follows. Member and client records, including contracts and billing information, are kept for the duration of the engagement and afterwards for the period required by Indian tax, accounting and contractual obligations.
Where information is no longer needed for any of these purposes, it is deleted or anonymised.
Your Rights
You can ask us to confirm what information we hold about you, correct anything that is inaccurate, or delete information we no longer need to keep. You can also withdraw your consent to analytics cookies or ask us to stop sending you non-essential communications.
Write to us using the contact details below and we will respond within a reasonable period. We may need to verify your identity, and some records may be retained where the law requires it.
Changes to This Policy
We may update this policy as our services, systems or legal obligations change. The current version will always be available on this page along with the date it was last updated. Significant changes will be highlighted on the site.
